What we process
We process the data you provide through the contact form or by email: your first and last name, the name of your company or organisation, your email address, where applicable your phone number, and the content of your message. Our hosting provider additionally processes technical log data such as your IP address and the time of a request, which is necessary to deliver and secure the website. Finally, we count the visits to the website, without cookies and without data that can be traced back to you: which pages are viewed, from which country, with what kind of device and browser, and through which website someone reached us.
What we use it for
We use your data to answer your question, to handle a quote, order or agreement, and to meet legal obligations such as the retention period for invoices. We use the visit counts to see how the website is used, so that we can improve it. We make no automated decisions with legal effect and do not build profiles.
On what legal basis
Processing rests on the performance of a contract or on pre-contractual steps (article 6.1.b GDPR), on our legal obligations (article 6.1.c GDPR), and on our legitimate interest in keeping the website working and secure and in knowing how it is used (article 6.1.f GDPR). Where we expressly ask for consent, you may withdraw it at any time, without affecting processing that took place before.
Who we share it with
The website is hosted by Railway in the United States, acting as a processor. The messages you send through the contact form reach us through Resend in the United States, also a processor. Beyond that we share data only with service providers acting on our behalf, such as our accountant, and with public authorities where the law requires it. We do not sell your data and do not use it for third-party advertising.
Transfers outside the European Economic Area
We aim to process your data within the European Economic Area. Where a transfer to a third country is nonetheless necessary, it takes place on the basis of an adequacy decision of the European Commission or of the standard contractual clauses, supplemented by the additional measures required.
How long we keep it
We do not keep your data longer than necessary for the purpose it was collected for. Messages received through the contact form are kept for up to two years after the last contact. Invoicing data is kept for seven years, as tax law requires. Technical log data is erased within a few months. The visit counts hold no data that can be traced back to you.
Your rights
You have the right of access, rectification, erasure and restriction of processing, the right to data portability, and the right to object to processing based on a legitimate interest. Send your request to info@ace-marketing.be. We reply within one month and may ask for proof of identity.
Lodging a complaint
If you are not satisfied with how we handle your data, you can lodge a complaint with the Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be. You can also go to court.
